A Reservation Staff member is responsible for managing bookings, assisting customers, maintaining reservation records, and ensuring a smooth reservation process from inquiry to confirmation.
1. Reservation Management
Receive reservation requests through phone calls, emails, websites, and walk-in customers.
Check availability of rooms, services, tours, or facilities.
Create, update, modify, and cancel reservations accurately.
Send reservation confirmations and follow-up communications.
Ensure all booking details are entered correctly into the reservation system.
2. Customer Service
Greet customers professionally and courteously.
Provide accurate information about rates, services, facilities, and policies.
Answer customer inquiries promptly and effectively.
Assist customers with special requests and requirements.
Handle customer complaints and resolve reservation-related issues.
3. Record Keeping and Documentation
Maintain accurate customer and reservation records.
Update booking information and customer profiles.
Ensure reservation files and documents are organized and accessible.
Protect customer information and maintain confidentiality.
4. Coordination and Communication
Coordinate with front office, housekeeping, sales, transportation, or operations departments.
Communicate special guest requests to relevant teams.
Inform departments of arrivals, departures, and booking changes.
Ensure all departments have accurate reservation information.
5. Payment Processing
Collect deposits and advance payments when required.
Verify payment details and booking guarantees.
Issue receipts, invoices, and booking confirmations.
Maintain accurate payment records.
6. Monitoring Availability
Monitor occupancy levels and booking status.
Prevent overbooking and reservation conflicts.
Update room or service availability in the reservation system.
Maximize occupancy and revenue through effective reservation management.
7. Sales and Upselling
Promote special offers, packages, and promotions.
Recommend upgrades and additional services.
Support revenue generation by maximizing booking opportunities.
8. Reporting and Administration
Prepare daily, weekly, and monthly reservation reports.
Track bookings, cancellations, no-shows, and occupancy rates.
Assist management with reservation statistics and forecasting.
Perform administrative tasks related to reservation operations.
9. Compliance and Professional Standards
Follow company policies and reservation procedures.
Maintain professionalism in all customer interactions.
Ensure accuracy and attention to detail in all reservation activities.
Comply with data protection and confidentiality requirements.
