Duties and responsibilities of a Procurement Manager:

1. Source, evaluate, and onboard approved vendors/suppliers

2. Request quotes and negotiate pricing, payment terms, and delivery schedules

3. Plan purchasing based on menu demand, sales forecasts, and current inventory

4. Maintain par levels/reorder points for food, beverages, packaging, and supplies

5. Place purchase orders with correct specifications, brands, quantities, and pack sizes

6. Ensure purchasing stays within budget and supports target food cost/overall cost control

7. Monitor price changes and recommend cost-saving alternatives without harming quality

8. Oversee receiving, inspection, and verification of deliveries vs. purchase orders

9. Ensure products meet food safety/quality standards and restaurant requirements

10. Coordinate returns, credits, and replacement orders for damaged or incorrect items

11. Maintain accurate inventory records (stock movements, usage, adjustments) and reduce shrinkage

12. Manage storage coordination to prevent spoilage, overstock, and stockouts

13.Track and report procurement spend, variances, and inventory/waste metrics

14. Maintain procurement documentation (invoices, supplier records, contracts, purchasing history)

Collaborate with head chef and management on menu changes and seasonal purchasing

15. Ensure timely and reliable deliveries (monitor on-time delivery and supplier performance)

Implement and follow purchasing and receiving SOPs/controls and approval workflows

16. Support vendor compliance requirements (licenses, certifications if applicable)

17. Manage procurement systems/tools (inventory software) and keep data updated

18. Develop backup suppliers and contingency plans for supply disruptions

Reduce operational disruptions by planning lead times and delivery frequency effectively

19. Recommend improvements to procurement processes, product standardization, and ordering methods.
