Job Overview
We are seeking a detail-oriented and organized Administration & Finance Officer to manage our daily office operations and financial accounting. In this dual role, you will be responsible for maintaining accurate financial records, handling banking operations, managing supplier and client correspondence, and ensuring smooth administrative workflows. The ideal candidate is a multitasking professional with a strong background in accounting principles and executive sales/marketing support.
Key Responsibilities
1. Financial & Accounts Management
• Bookkeeping: Maintain accurate and up-to-date day-to-day accounting records using financial software.
• Banking Operations: Handle bank-related tasks, including deposits, fund transfers, check processing, and monthly bank reconciliations.
• Accounts Payable & Receivable: Monitor outstanding dues, follow up on pending client payments, process supplier invoices, and verify delivery counts against billing statements.
• Expense Tracking: Record daily office expenses, manage petty cash, and calculate communal or departmental cost distributions when required.
• Financial Reporting: Assist in preparing monthly financial summaries, balance sheets, and profit/loss statements.
2. Office Administration & Operations
• Documentation & Contracts: Draft, format, and organize formal business correspondence, employment contracts, and official reports.
• Supplier & Client Relations: Serve as a reliable point of contact for international and local vendors, handling inquiries and resolving order discrepancies (such as shipment shortages).
• Compliance & Records: Organize and maintain physical and digital filing systems for company licenses, agreements, and employee records.
• Logistics Coordination: Oversee office inventory and coordinate with logistics partners to ensure deliveries are received and recorded correctly.
3. Sales & Executive Support
• Sales Execution Support: Assist the sales and marketing teams by preparing quotations, processing proforma invoices, and tracking client orders.
• Communication: Handle professional email correspondence with external partners, ensuring a polished and corporate tone.
Qualifications & Skills
Experience & Education
• Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
• Experience: 2–4 years of proven experience in a combined administrative and accounting role.
Technical & Soft Skills
• Software Proficiency: Strong hands-on experience with accounting software (e.g., Tally, QuickBooks, or ERP systems) and Microsoft Office Suite (especially Excel and Word).
• Professional Communication: Excellent written and verbal communication skills with the ability to draft formal, polished corporate emails and reports.
• Attention to Detail: High accuracy in numerical calculations, inventory reconciliation, and data entry.
• Organization: Strong multitasking and time-management skills to balance administrative duties with strict financial deadlines.
