Job Overview:
The Tender Coordinator is responsible for overseeing the complete lifecycle of tender processes, from sourcing procurement opportunities, SAP Ariba registration, managing tender invitations, preparing pre-qualification documentation, to compiling and submitting competitive proposals. This role requires meticulous attention to detail, strong organizational abilities, effective collaboration with cross-functional teams, and proactive stakeholder engagement to successfully secure business opportunities within the construction industry.

Key Responsibilities:
• Client Relationship Management: Maintain strong, positive relationships with clients, ensuring effective communication, understanding of client requirements, and responsiveness to their needs.
• Tender Process Management: Oversee the entire bid process, including the preparation of required forms for bids and proposals, ensuring compliance with client requirements and timely submission.
• Documentation Coordination: Manage and produce proposal documents (RFI, SQ, PQQ, ITT, RFP, etc.), ensuring the implementation of document version control procedures and processes.
• Cross-Functional Collaboration: Coordinate proposal input from various stakeholders, including sales, solutioning, marketing, product teams, finance, commercial, legal, and project delivery, to ensure comprehensive and competitive proposals.
• Compliance Assurance: Ensure all proposals adhere to corporate branding guidelines, standard formatting, and quality standards, providing advice on flow, language, and grammar to content owners.
• Schedule Management: Establish, monitor, and update construction work schedules to ensure timely completion of tender submissions.
• Stakeholder Engagement: Maintain positive relationships with subcontractors and community partners, participating in tender clarification meetings and negotiations as needed.
• Oversee vendor registration processes and manage vendor information within the SAP Ariba platform.
• Receive, organize, and evaluate incoming tender invitations and various procurement documents including RFI (Request for Information), SQ (Supplier Questionnaire), PQQ (Pre-Qualification Questionnaire), ITT (Invitation to Tender), and RFP (Request for Proposal).
• Prepare accurate and comprehensive pre-qualification packages, ensuring adherence to timelines and submission requirements.
• Compile detailed technical and commercial proposals, ensuring full compliance with client requirements and tender specifications.
• Coordinate closely with internal departments (engineering, commercial, legal, finance) to gather relevant information required for proposals.
• Maintain organized tender documentation, including tender databases and archives, and ensure proper version control.
• Monitor and manage tender schedules, tracking critical milestones, deadlines, and outcomes; provide regular status updates to management.
• Participate actively in tender clarification meetings and negotiations with clients and stakeholders.

Qualifications:
• Bachelor’s degree in Engineering, Construction Management, Business Administration, or related field.
• Minimum of 10 years of experience in tendering, procurement, or contract management within the construction sector.
• Strong proficiency and experience with SAP Ariba and in-depth knowledge of tendering processes.
• Demonstrated expertise in contracting, procurement practices, and vendor management specifically in construction.

• Understanding of construction workflows, sequencing, and trade coordination.
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with industry-specific software.
• Ability to read and interpret construction drawings and technical specifications clearly.

• Ensure compliance with the Occupational Health & Safety Act and Regulations for construction projects by implementing the company’s OH&S management system.
• Proven capability in managing complex technical documentation and understanding construction workflows.
